

Booking terms - Arctic Villas Finland
We apply the following booking terms and conditions for all rentals. These terms become binding for both parties once the customer has paid the deposit stated in these conditions, or both the deposit and the final payment at once.
Booking and Payment Conditions

The person making the booking must be at least 18 years old.

A deposit of 20% of the rental price must be paid at the time of booking through online banking. The booking can also be paid in full immediately, in which case the confirmation and information about the property owner/maintenance will be sent by email.

Keys are located in code boxes at each property. The code is sent to the guest on the day of arrival.

Any comments regarding the invoice must be made within 7 days of the invoice date.
Payment details:

When paying the deposit, write in the reference: DEPOSIT, Guest’s Name.

When paying the balance, write: FINAL PAYMENT, Guest’s Name.
A booking is confirmed once the deposit (20% of the rental price) has been paid by the due date, or when the deposit and balance have been paid together in one payment.

The balance must be paid no later than one (1) month before the start of the holiday.

A mandatory final cleaning fee is always charged in addition to the rent.

If the booking is made 35–49 days before arrival, the full amount must be paid at once within 7 days of the invoice date.

If the booking is made 27 days or less before arrival, the full amount must be paid immediately.

Failure to make payments on time may result in cancellation without further notice.
Cancellations and Changes

Cancellations must always be made in writing by email to: mikael@ronnkvist.fi.

The cancellation is considered valid once it has been received.

The deposit is non-refundable.

If the booking is cancelled less than 28 days before the start date, or during the stay, no payments will be refunded.
Arctic Villas Finland’s Right to Cancel
In the case of force majeure, the booking may be cancelled. In such cases, the customer will be refunded in full.
If the booking must be terminated due to the guest’s disruptive behavior, no payments will be refunded.
Failure to pay on time may also result in cancellation without notice.
Property and Service Information
The property descriptions may mention local services (e.g. railway station, bus stop, restaurants, shops, ski lifts, etc.). We are not responsible for the accuracy or availability of services not directly included in the property rental.
Use of the Property

Check-in: from 16:00 on the arrival day.

Check-out: by 12:00 on the departure day.

The rent includes the right to use the property, normal energy consumption, furniture, kitchenware, cutlery, mattresses, duvets, and pillows.

In summer, a gas grill and one gas cylinder are included (we cannot guarantee gas availability; guests may refill or bring their own).

Firewood: one (1) sack is included (at Alppihuuru, Lukkohalla, and Tunturituikut).

Basic spices, toilet paper, and kitchen paper are not included.
-
Bed linen and towels are not included. Guests must always use sheets. Linen sets can be ordered at €17/person.

Guests are responsible for cleaning during the stay; final cleaning is carried out by maintenance.

If a hot tub (Alppihuuru or Lukkohalla) is booked, the guest is responsible for cleaning it when filling, emptying, and after use.

Maximum occupancy is the number of beds specified in the property description or agreed upon at the time of booking. Parties or events exceeding the occupancy limit must be agreed upon with the owner in advance.

Use of tents, caravans, or rental equipment on the property without permission is prohibited.

Pets must be mentioned when booking (note: pets are not allowed at Alppihuuru).

Smoking is strictly prohibited inside all properties.
Guest Responsibilities and Check-Out

Guests must leave the property and keys by 12:00 on departure day unless otherwise agreed.

Guests are responsible for any damages caused and must inform the owner/maintenance immediately. Damages must be compensated directly to the owner/maintenance.

Upon departure, the following tasks must be completed by the guest:

Wash all dishes or place them in the dishwasher and start the cycle.
-
Clean the gas grill if used (not included in final cleaning).
-
Take out all trash.
-
Collect empty bottles/cans into a bag and leave outside.
-
Return furniture to original places.
-
Remove all food or take it to waste collection.
-
Leave outdoor and barbecue areas tidy.
-
If the hot tub was used, empty and clean it, ensure the stove is fully extinguished, and place plugs inside the tub.

Failure to complete these tasks may result in additional cleaning charges.
Smoking indoors will result in a €500 penalty fee.
Force Majeure
Arctic Villas Finland is not responsible for damages caused by unexpected force majeure (e.g. power outages, natural phenomena such as algae, or animals such as mice or insects) beyond the owner’s control.
We are not liable for damages caused by normal natural conditions.
Complaints
All complaints must be made immediately to the owner/maintenance during the rental period. If issues are not reported during the stay, the property is considered to have been in agreed condition. Complaints made after the rental cannot be compensated.
If the guest leaves before the end of the rental period, no refund will be given.
Price Changes
Incorrect pricing information is not binding if the error is obvious (e.g. the price is significantly different from the actual or unusually low compared to the general market level).
Governing Law and Disputes
Any disputes will first be settled through negotiation. If no agreement is reached, disputes will be resolved in Central Ostrobothnia District Court (Keski-Pohjanmaan käräjäoikeus) under Finnish law.
